JH Specialty is looking to expand their team with a full-time Executive Assistant. This role will support the company’s senior-level leaders and JH Specialty by performing a variety of administrative tasks. This role will succeed by employing a balance of exceptional communication and organizational skills. The hours for this role will generally be 7:30am - 4:30pm, but will vary based on company needs, ie. meetings, events, etc.

Qualifications:

· 5+ years of experience working as an Executive Assistant, required.

· Excellent writing and communication skills, required. 

· Experience working with clients or customers, required.

· Ability to work on-site full-time, required. 

· Undergraduate degree or equivalent work experience, preferred.


Essential Duties and Responsibilities:

  • Perform general office duties such as answering the phone, data entry, and Provide hospitality to all guests and help to create a welcoming environment.
  • Manage and maintain calendar for CEO (and other Senior Leaders as needed), including scheduling appointments, meetings, and travel arrangements.
  • Manage and monitor email as needed or requested by senior leaders and appropriately respond.
  • Assist with preparation of various meeting presentations and agendas.
  • Prepare and edit internal/external letters and communications as directed by the Senior Leaders. Effectively develop and communicate announcements throughout the organization and to senior leadership.
  • Coordinate and manage periodic all-staff meetings and events.
  • Conduct special projects, as needed, including designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff; composing and preparing correspondence.
  • Coordinate building maintenance and vendors under the direction of Leadership.
  • Coordinate employee enhancement initiatives and activities.
  • Provide other administrative support to the Senior Leaders, as needed.
  • Uphold a strict level of confidentiality, professionalism, and integrity in all dealings, and maintain confidential and sensitive information.
